Manager – Finance Projects

Introduction: About CAF

CAF has been in India for over two decades. In this time, it has played a key role in channeling international institutional and individual philanthropic funds to social sector projects in India. CAF India has had a stellar record in fundraising for diverse causes like education, health, environment etc.

In view of the changes in the regulatory framework, CAF is in the process of redefining its role in India. Aside from fund raising, CAF India is planning to play a more active role in conceiving and executing projects. It is evolving its own unique lens on development and plans to evolve coalitions that will create social impact at scale.

CAF would like to build in its track record of retail and individual giving, to bring individual energies into supporting causes, building coalitions and giving impactfully.

The Position

CAF India is looking for an experienced and knowledgeable person to fill this role to ensure that all finance within the organization are carried out effectively and get strengthened. This is an exciting opportunity for an ambitious professional to lead the development, management of the overall finance within the organization.

Key Responsibilities

GRANT MANAGEMENT SYSTEM

  • Financial review of MOU of NGOs & Donors before finalization and ensure its reconciliation with each other.
  • Reviewing of Fund Release Advice and ensure timely disbursement of fund to NGOs as per MOU.
  • With the coordination of Program Team, track the grant and share the financial report to Project Team Leader and Head-Finance & Admin.
  • Track the budget utilization as per the line heads and approved budget limit.
  • Coordinate with NGO partner and program team to establish the reasons for variance in budget utilization if any.
  • Coordinate with Project Manager in compliance to audit/spot check recommendations
  • Prepare project budgets and budget notes as and when required.
  • Produce timely financial reports for submission to donor capturing the financial figures as stipulated by the donor and in the grant agreements.
  • Generate a quarterly report on grants noting concerns on over/under spending and related action plan.
  • Reconcile the balances in the financial reports / invoices submitted to the donors to the balances as per CAF INIDA accounting records.
  • Tracking of monitoring visit through master filling / archiving system.
  • Managing Procurement Functions.

NGOS’ AUDIT & COMPLIANCE (FINANCE)

  • Ensure that the financial systems are in compliance with CAF INIDA’ policies and procedures, Generally Accepted Accounting Principles (GAAP), donors’ rules as per the MOU and regulations and legal requirements.
  • Review of Partners financial, suggest best practice and submit timely feedback reports to management for better control

REPORTING

  • Ensure timely preparation and sharing of the financial visit reports with the analysis highlighting the key results or action required in coordination with program team and NGO Partner.
  • Preparation of Project’s associated Budget vs. Actuals reports and variance analysis, assess the financial impact on the budget and suggest appropriate corrective actions.
  • Coordinate with program team for timely submission of various financial reports before the due date for them to review.
  • Support in preparation and submission of the financial reports to donors.
  • Preparation of Grants reporting schedule & update the reporting status of assigned project.

CAPACITY BUILDING

To support and suggest best practice to NGOs Partner staff and build their capacity in the finance areas related to accounting system, policy & procedure and compliances.

For Mou Budget Finalization The Concern finance person will be involved from initial phase of budgeting with the knowledge of the proposed thematic area and the work scale. So that he could well estimate the amount which might be required for project.

Qualifications and experience

  • Graduate with MBA in Finance or a high level professional degree in Accounts, or Cost and Management Accountants, or equivalent from a reputed university/institution.
  • Experience and understanding of development sector.
  • Must have basic awareness of information security management systems based on ISO / IEC 27001 standards.

Senior Programme Officer - Strategic Partnerships for Payroll Giving

About the Role

The Manager - Strategic Partnerships for Individual and Retail Giving will report to the Lead—Strategic Partnerships for Individual and Retail Giving. S/he is the specific point of contact for individual donors and NGO partners related to individual and retail giving. This will involve designing, planning, and implementing promotional strategies (both online and offline) to encourage online giving covering both acquisition and retention of donors.

Key Responsibilities

  • Plan and implement strategies to grow and diversify CAF India’s Employee Giving Programs for corporates and other organizations.
  • Secure new clients and business on employee payroll giving. This includes ˇresearch on possible clients, opening leads, developing proposals, presentations, negotiating and securing clients.
  • Operational aspects of the employee giving, employee volunteering and retail giving portfolio of CAF India including programmatic interventions.
  • Support research on employee giving and use findings to promote new ideas and concepts.
  • Manage end to end payroll giving program for corporate clients and NGOs (including securing partnerships, MOUs, due diligence of grantees, grant disbursals, monitoring, reporting, audit, issue of tax receipts and closure) .
  • Monitor the data and analytics on weekly/monthly/Quarterly basis from payroll giving outputs as per the agreed upon KPI’s (Key performance Indicators) and share the report to the management for corrective measures.
  • Execute the tests and innovate using existing/updated/new technology platforms to bring in efficiency in output of Payroll giving grogram.

Qualifications and experience

  • MBA or master’s degree in relevant stream: development management, social science, social work, sociology, from reputed institutes.
  • Must have minimum 5 years of experience in development sector managing programmes.
  • Prior experience with payroll giving programmes and retail fundraising.
  • Experience in working with retail crowdsourcing platforms.
  • Fluent in verbal and written communication (both English & Hindi).

Competencies and Skills

  1. Proactive and initiative.
  2. Ability to operate independently.
  3. Ability to work in and to manage a team.
  4. Ability to manage a project keeping efficiencies, effectiveness and impact in view.
  5. Strong analytical skills, networking skills and persuasive communication.

  • Design and implement strategy for CAF India’s retail and individual giving portfolio both acquisition and retention.
  • Support in the development of strategic marketing campaigns, business development and market research retail giving.
  • Operational aspects of the retail individual giving portfolio of CAF India including programmatic interventions.
  • Build strategic partnerships with retail individual giving online platforms (international and national).
  • Organize campaigns and other promotional events related to individual and retail giving.
  • Support research on individual giving and use findings to promote new ideas and concepts.
  • Manage end to end program supported by retail giving. (MOUs, due diligence of grantees, grant disbursals, monitoring, reporting, audit, and closure).
  • Manage the implementation, tracking and measurement of retail engagement and campaigns.
  • Due diligence and coordination with the NGOs and recipient organizations.
  • Ensure that payment gateways are established for hassle-free financial contribution from retail/ individual donors.
  • Ensure all the banking financial protocols (NACH / E NACH) are established for receiving recurring giving and one-off giving payments.
  • Execute and test the various donations asks/ tenure both for acquisition and retention of the retail individual giving programmes.
  • Manage the technology required for successful retail individual giving programmes both for online and offline giving.
  • Monitor the data and analytics on weekly/monthly/quarterly basis from individual / retail giving channel as per the agreed upon KPI’s (key performance indicators) and share the report to the department head for corrective measures.
  • Execute all the training need required for meeting the key performance indicators for In-house team/ agencies.
  • Responsible for establishing a healthy competitive environment in the team with a robust reward and recognition system.
  • Ensure a proper vendor management system is established for retail individual giving programmes.

Qualifications and experience

  • MBA or master’s degree in relevant stream: development management, social work, sociology, social science, or social entrepreneurship from reputed institutes.
  • 10-14 years of experience in development sector managing programme.
  • Prior experience of retail fundraising, and in the individual giving domain.
  • Experience in working with retail crowdsourcing platforms.
  • Fluent in verbal and written communication (both English & Hindi).

Senior Manager - Accounts

Accountability

The Senior Manager-Accounts will report to the CFO.

Key Responsibilities

A) Financial:

  • Records and posts all financial transactions.
  • Develops and documents systematic procedures for financial related tasks.
  • Pays bills, handles correspondence, and maintains files.
  • Prepares financial statements, estimates, summaries, and other financial analysis and management reports under supervision of Lead Finance & CFO.
  • Evaluates financial reporting system and accounting procedures and makes recommendations for changes, to procedures, operating systems, budgets, and other financial control functions to the Director of Finance & Operations.
  • Annual reconciliation of financial figures with Lead Finance according to CAF Norms.
  • Reconciliation of direct & indirect income & expenses with Lead Finance
  • Monthly disbursals / payments to NGO Partner
  • Filling of FCRA quarterly receipts on MHA’s website.
  • Donation deposition
  • Statutory Payments of TDS & PF
  • Maintaining & Handling E-NET Banking for all types of payments to Vendors and NGOs etc.
  • Vendor payments related indirect & direct expenses after proper deduction of TDS & tacking of expenses & advances.
  • Assisting in finalization of books of accounts by preparing various schedules and also in filing of FCRA annual return with helping in balance sheet & receipt & Payment account.
  • Issuance of 80G (Tax Exemption Certificate) to all Corporate, Individual Donors solely.
  • Handling Donation Management Software, which captures various disbursal logs, through which 80G is issued, & also capturing data of appeals and campaigns raised.
  • Issuing letters to NGOs about intimation of fund transfer in favour of them regarding projects & thematic areas
  • Filling of Vendors Forms for taking them on board after following all compliances.
  • Follow up with Bank for various operations of inward & outward remittance.

B) Grant Management System:

  • Track the Budget utilization as per budget line heads & approved Budget Limit.
  • Coordinate with project manager or country representative if there is any variance in budget utilization.
  • Produce timely ‘budget Vs. actuals’ to various project teams & donors.
  • Releasing of consultancy invoices, reimbursements, mobile expenses, workshop expenses of all consultants after deduction of TDS.
  • Filling of Budget Vs Actual with Narrative reports to Donor for raising of next installment.
  • Making of MOU under the supervision of CFO & share the same with donors.
  • Coordinate with project managers & country directors regarding statutory compliances & standard operating procedures for their capacity building.
  • Review of fund release advice and accordingly release the instalment to charity partner after following payment procedures.
  • Providing audited financial statements (receipt & payment account) to donors as per grant for the closure of the grant.
  • Managing and supporting the grants requirement and implementation for the organization.
  • Monitor paper work and other related documents connected with grant funded programs.
  • Analyze the Budget Trends & make recommendations for cost control & reduction of various expenses.
  • Maintain all records of payments & receivables & prepare record for all Grant related activities.
  • Provide Training to new consultants of Grant about reporting & compliance procedures.
  • Making Contract Letters, Increment Letters, Extension Letters of Consultants.
  • Interaction & coordination with Donor & Donor Auditors if any audit will conduct by Donor.

C) Audit & Compliance:

  • Conducting a thorough check on CAF India’s NGO partners, ensuring that their systems are in compliance with CAF INDIA’s procedure.
  • Regularly checking MHA’s website for amendments in the FCRA.
  • Handling internal auditors, statutory auditors & FCRA Auditors for their queries during internal, statutory & FCRA audit.
  • Ensuring full compliance while sharing bank details with donor to ensure error-free transactions

D) Reporting:

  • Producing timely reports to donors regarding balance amount lying with CAF INDIA.
  • Sharing Budget Vs. Actual reports & variance analysis with donor in a timely manner so that corrective measure are taken in case of discrepancies.
  • Reporting to donor about amount received under CAF India’s Payroll Giving Programme and asking them for employee details so that the funds are get disbursed accordingly.

Eligibility:

  • Must be Commerce Graduate with 5-10 yrs. Experience.
  • Preferably person should be Post Graduate in relevant field / MBA Finance
